When you book with United Education there is an agreement between us. The booking conditions and other information (including, but not limited to, our FAQs and Parent Guide) exchanged between us from that agreement, but no amount of words are as effective as a good, open and honest relationship – that’s what we want with you. Your expectations should be very high, and we will always aim to exceed them. If things go wrong for any reason, we will work hard to put them right – quickly and effectively. We trust you will be reasonable, honest, and fair, and we promise we will be too.  

Bookings 

Bookings will be confirmed via email (whether made online, written or over the phone). By placing a booking with United Education, you are agreeing to the acceptance of these terms and conditions. Responsibility for all booking details lies with the individual who made the booking.  

Payments 

United Education accepts payment by credit card, debit card, BACS, childcare vouchers, and Tax-free childcare. A deposit of 50% must be made at the time of booking. All bookings must be paid in full prior to arriving. Childcare Vouchers should be received by United Education prior to arriving at camp. If for any reason there is a delay with this payment, you should contact Head Office as soon as possible to ensure your booking is secure. It is not the responsibility of United Education to chase childcare voucher payments.  

Cancellations and Changes 

If you give us 14 days’ notice prior to the first day of you booking that you would like to cancel we will refund your payment. If you have paid in childcare vouchers or credit, we will hold the amount in credit on a promotional code to be used for future bookings. For cancellations with less than 14 days’ notice, the cost of the days cancelled will be added to a promotional code, which you can use for future camps. The cost of any bookings cancelled or changed with less than 48 hours’ notice will have to be covered by yourself unless you have our (optional) Payment Protection Plan added to your booking. If for any reason you cannot attend, you should call Head Office on 0113 4830280 to inform us of your absence. 

If your child is too ill to attend Camp, you should telephone Head office before 9am on the day of your booking. Unfortunately, we will be unable to offer a refund or credit for cancellations due to illness with less than 48 hours’ notice if you have not purchased our Payment Protection Plan.  

Late Payments 

We reserve the right to cancel your booking if it is not paid for after the due date. Any account left unsettled after the balance due date will automatically incur a £15 late fee.  

Offers and Discounts 

Discounts cannot be used in conjunction with any other offer. United Education cannot apply discounts retrospectively and discounts must be applied at the time of booking. If for any reason you choose to make changes to your booking at a time where this discount has expired, you will lose this discount.  

Discounts cannot be used for excursions, add-ons, or merchandise (unless specified).  

Extended Hours and Late Pick Up 

The use of extended hours (before 8.30am and after 5.30pm) should be booked in advance either online or by Head Office. If your child arrives before 8.30am or is picked up after 5.30pm the standard rate for extended hours will be charged to your account. Extended hours can be cancelled, and our standard cancellation policy applies. Please note that you cannot cancel extended hours within 48 hours of the day booked. All children must be collected before 6pm. If you cannot collect before 6pm for any reason, you should telephone the site contact number or Head Office as soon as possible. A member of staff will wait with your child until they are collected. You will be charged a late pick-up fee of £15 for every 15 minutes to cover additional staffing costs.  

If we have no contact from a parent or guardian by 6.30pm United Education will contact social services to let them know that we have an uncollected child. We reserve the right to refuse any future bookings from parents who continually pick up late.  

Photography and Video Footage 

United Education may take photographs and video footage at camp to use for training and promotional purposes. To exclude your child, we must be informed in writing (on our online booking form) before your child begins at camp. Where possible, we will post photos to our social media platforms for parents to view, but please note we cannot guarantee your child will appear on these. The copyright of all photography appearing in our brochures belongs to United Education. No reproduction may be made without prior permission from the company.  

Illness and First Aid 

United Education requires that all children who are ill or infectious be kept at home for the duration of their ailment and for 48 hours after the last symptom has occurred. United Education will only administer medication if the parent has given consent to do so in writing. Any medications should be handed to the Camp Manager and should not be stored with the child’s personal belongings. In the event of an accident, first aid will be administered to all children in our care and the emergency services will be called if necessary unless stated otherwise during the registration process.  

All United Educations’ First Aid policies are in line with Ofsted Recommendations.  

Off-site Activities 

Severalof our programmes include excursions and off-site activities. All our usual standards of care and supervision apply. All children may participate in off-site events unless we specifically receive written notification to the contrary from parents or guardians. If a whole camp trip is arranged, then we will endeavour to still run a normal camp in adjacent to the trip.  

Insurance 

All children in our care are covered by our Public Liability Insurance  

Personal Property 

All of your child’s personal property is your own responsibility, United Education is not liable for any property that is lost or damaged at camp. If you believe that your child has left an item at camp, please contact Head Office and we will do our best to locate it for you. If camp is still in season you will be able to collect it before the last day of camp. Alternatively, if camp has ended you can collect the item from Head Office during our opening hours. 

Phones and electronics should not be brought to camp.  

Damage Liability 

We reserve the right to reclaim costs incurred for any damages caused by your child(ren) to any United Education , School or Contractors property or buildings.  

Parent Feedback & Complaints 

United Education is committed to ensuring every child has an amazing time at camp and cannot wait to return. If you or your child is not entirely satisfied with their time at camp, we want to be the first to know. We really value your feedback and use it to develop and improve our services. If you have any concerns or suggestions whilst camp is still running, please contact your Camp Manager. If we hear about the problem during camp, we can almost always resolve it for your child.  

If for any reason you do not feel the issue has been resolved, please call our Community Relations Team at Head Office. You can be assured that your complaint will be taken very seriously. Following this you may wish to submit your complaint in writing. We ask that for complaints raised from activities on camp, you contact us within 10 days of your child’s time with us.  

In the unlikely event that your complaint is still unresolved you may wish to contact Ofsted on 03001231231.  

Compensation 

In the unlikely event that a child experiences a problem or difficulty while at camp, the above complaints procedure should be followed. The matter should be reported immediately to:  

– The Camp Manager who has the authority and direct knowledge to deal with most queries.  

-If he or she fails to resolve the difficulty to your satisfaction, then contact us at our Head Office within 10 days of your child leaving camp.  

If the issue cannot be resolved our team may be able to offer compensation. United Education will only compensate complaints if both conditions are met.  

Safeguarding 

United Education is legally obliged to investigate and report any safeguarding concerns. Any suggestions of abuse or neglected will be investigated and reported to Ofsted or relevant local authority and agency.  

Policies and Procedures 

Copies of United Education policies and procedures are held at camp and Central Office and are available on request.  

Changes to Programming 

The day in the life timetables advertised online just to be used as an example of what a regular day on camp may look like. In the event that sessions are cancelled due to safety reasons, or factors beyond our control, we are not contractually obliged to give any refund, but we will look at every case on its own merits.  

Negligence and Force Majeure 

We do not accept responsibility for personal injury and loss or damage to property unless caused by the proven negligence of the company or its employees. We do not accept responsibility for events which are outside of our direct control. These include (but are not exclusive to) events such as strikes, global pandemics, outbreaks of disease, bad weather, war, and injury.  

Child Information 

It is the responsibility of the person placing the booking to ensure that United Education has all relevant and accurate information about the child (this includes all medical information, special educational needs, and emergency contacts). If United Education does not have this information your child will be unable to attend camp.  

Availability 

Spaces on all programmes are subject to availability and United Education is unable to open new spaces up once the programme is full. Your child’s space is not secured until you have received a booking confirmation.   

Incompatibility and Health & Safety 

In order to maintain appropriate standards of health and safety, children with certain medical or physical conditions or those who cannot demonstrate the required skill competence may not be allowed to participate in some activities. In such cases we will always provide alternative activities.  

Data Protection 

Personal information requested during the registration process is held on our system and used by United Education in connection with your bookings. When necessary we may share this information with employees, agents, subcontractors and other third parties in order to fulfil the obligation of our contract. United Education take full responsibility for ensuring that suitable security measures are in place to protect personal information.   

United Booking Insurance

United Education offers optional booking insurance which means we can refund you for any day(s) missed (outside of our usual cancellation window) due to illness or injury or allocate your child to new dates in the season if they are available. We cannot offer refunds for missed days due to child illness unless you take the optional booking insurance. The refund will not include the cost of the booking insurance. Booking insurance must be taken at the time of booking or at least 14 days before the first date of your Camp booking. In the event of a claim for illness greater than 2 days, all we need is a doctor’s note within 14 days of the illness date. If you do wish to take out the booking insurance, you will just need to purchase it for everyday you wish for your booking to be covered.    

Competitions

  • Competition prizes are subject to camp availability.
  • There is no entry fee or purchase necessary to enter the competition.
  • Winners of each competition will be chosen at random and notified shortly thereafter by email or social media.
  • Prizes are as stated and non-transferable, with no cash or other alternatives offered unless advertised prize becomes unavailable.
  • An alternative winner will be selected if we do not receive a response from an individual winner within 7 days of notification.
  • The competitions are only open to any person aged 18 or over and resident in the UK.
  • The winner will be chosen at random from the correct entries and will be notified on day of competition closing date.
  • This competition is in no way sponsored, endorsed or administered by, or associated with Facebook or Twitter. You are providing your information to United Education and not to Facebook. By entering this competition you hereby agree to receive updates from us (United Education) via, email -you can opt out of these at any time.
